This policy explains how LOCTOC PTE. LTD. (referred to as "KNOW", "we" or "us"), a Singapore-based company having its registered office at 30 Prinsep Street, #06-01, Singapore 188647, collects and protects your personal information when you use our website or mobile/web-based apps (collectively, "Platform").

We keep this policy under regular review and may update this webpage at any time. You shall be notified if there are material changes to this policy.

By using our Platform, you agree to these terms. If you disagree with this policy, please avoid using our Platform.

1. What Data Do We Collect?

We collect the following data from visitors: (i) your e-mail ID (where applicable); (ii) your IP address; and (iii) your location (collectively, "User Data").

We collect the following data from registered users: (i) User Data; (ii) your name, and mobile number; (iii) any images, videos and other files provided by you; and (iii) biometric and geolocation data specifically provided by you or your employer.

We collect the following information from both Visitors and Registered Users: (i) how you behave on the Platform (what pages you land on, how much time you spend); (ii) details of the device you use to access the Platform (model, operating system and so on); and (iii) cookies and web beacon data (collectively, "Analytics Data").

2. How Do We Collect Your Data?

We collect data when you use the Platform or voluntarily provide information to us.

We will obtain your consent for collecting or using sensitive data (e.g., biometrics), as required by applicable laws.

If you are in the European Economic Area (EEA), we collect and use your personal information only when:

  • needed to fulfil a contract with you or your employer (e.g., providing services requested by you).
  • it serves our legitimate business needs (e.g., improving our Platform).
  • you have given us consent.
  • such collection or use is required by law (e.g., tax compliance).

If processing of personal data relies on your consent, you may withdraw it at any time by contacting our Data Protection Officer (details in Clause 12).

3. What Do We Use The Data For?

We use your personal data to enable you to create an account (where applicable) and access the Platform's features. We may also use the other data to enable you to avail of certain offerings, such as: (i) Multimedia Data may be collected in case your employer requires you to upload a photo in connection with your job; (ii) biometric and geolocation Data may be collected in case your employer requires you to mark your attendance or complete other tasks and forms; (iii) personal data and Analytics Data may be collected to provide you with support and maintenance services; and (iv) contact details may be collected to provide you with promotional emails or newsletters from time to time.

We use the Analytics Data to analyse how you use the Platform (e.g., pages visited, features used) to fix issues, improve performance and make the Platform more helpful for you.

4. How We Store and Secure Your Data

Your personal information is stored on our own servers, or servers operated by our trusted partners. As these servers and partners may be located globally, your data may be transferred outside your country's borders. We will ensure that partners meet the protection standards required by your country's privacy laws.

If you live in the EEA or USA and your personal data is sent outside the EEA or USA (including to our overseas affiliates and partners), we use applicable statutorily approved safeguards (including special legal contracts) to keep it safe, or we will ask for your explicit consent before transferring data internationally.

If we discover a security breach affecting your data, we will: (a) immediately work to fix the issue; and (b) inform authorities as required by law.

5. Our Retention & Deletion Policies

We will only hold onto your personal data as long as we need it for legitimate business purposes (e.g., to provide services to you, meet legal requirements, or resolve disputes). Once such data is no longer required by us, we may: (a) delete it; (b) aggregate and anonymise it; and/or (b) store it separately and securely if deletion is not possible.

You may access your personal data that has been retained by us at any time, or request that your data be corrected, updated or deleted at any point by contacting our Data Protection Officer (details in Clause 12).

6. Special Categories of Data

Certain data that is collected from you, including biometric data, may be classified as 'special categories' of data under applicable law.

These special categories of data will be entitled to such protections as are notified from time to time by the relevant jurisdictional authorities.

7. Use of Anonymised & Aggregated Data

We may anonymize/aggregate personal data and use it freely, subject to regulatory limits.

Anonymized and Analytics Data help us derive trends and improve Platform functionality.

8. Protection of Children's Online Privacy

Our Platform is generally not meant for users under the age of 18. We do not ask for or intentionally collect any personal data from minors.

If we discover that data has been unknowingly gathered from someone under the age of 18, we will remove it from our systems immediately.

9. Transfer of Data

In the ordinary course of business, we may engage with third parties to enable the provision of certain components of our offering. To do so, we may need to share your data with them. Any such sharing of data will be in compliance with this policy and any applicable laws.

We may sub-contract processing activities to third parties, including for record keeping, data analysis, marketing assistance, processing payments, and providing customer service.

10. Access to Third Party Links

Links to third-party sites/apps on our Platform are governed by their privacy policies. We are not responsible for their practices.

Visiting third-party links via our Platform may generate analytics (e.g., visit time, URL, device details) if cookies/web beacons are enabled or with your consent.

11. Compelled Disclosure

In addition to the purposes set out in the policy, we may disclose any data collected from you if it is required:

  • under applicable law, to respond to a legal process (such as a search warrant, court order, or subpoena), or in connection with legal proceedings brought against us or any of our personnel, affiliates, customers or vendors;
  • to protect our safety, your safety or the safety of others or in the legitimate interest of any party in the context of national security, law enforcement, litigation, criminal investigation or to prevent death or imminent bodily harm;
  • to investigate fraud or credit risk; and
  • in pursuance of a business deal in which all or a part of our assets are merged or acquired by another business entity, or during restructuring or re-organization of business.
